What we record when you call, and what we do with it
Booking a flight means handing over a name, a date of birth and a card. This page sets out exactly what the desk keeps, who it goes to, how long it stays and how to have it removed.
Who this covers
This policy applies to BestFlightsBooking (“we”, “the desk”), an independent travel agency, and to every way you reach us: the telephone line on (866) 227-5808, email to desk@bestflightsbooking.com, and this website. It explains our handling of personal information for callers in the United States.
Information we collect
Given by you on a call
- Passenger names exactly as they appear on the travel document, plus dates of birth.
- Contact details — telephone number and email address for sending the confirmation.
- Trip details: origin, destination, dates, cabin, number of passengers.
- Passport or redress numbers, and frequent-flyer numbers, where a fare requires them.
- Requests you volunteer, such as wheelchair assistance, a meal note or a seating preference.
Payment details
Card numbers are entered into a secured payment page operated by our processor and are transmitted straight to the airline or consolidator for ticketing. We retain only the last four digits, the card brand and the authorisation reference, which is what we need to trace a refund. Full card numbers are not stored in our records and are not written into call notes.
Collected automatically
- Calling number, call time and duration, and which agent handled it.
- Standard server logs from this website: IP address, browser type, pages requested, referring page.
Call recording
Calls may be recorded for training and to settle disputes about what was quoted. Where a recording is being made you will hear a notice before the call connects, and you may ask the agent to stop recording and take the booking by note instead.
Why we use it
- To price your itinerary, issue the ticket and send the confirmation.
- To act for you afterwards on schedule changes, reissues, refunds and name corrections.
- To meet airline, customs and immigration requirements, including advance passenger information.
- To detect and investigate fraudulent card use and chargebacks.
- To keep the accounting, tax and commission records the law requires us to keep.
We do not sell personal information, and we do not share it with data brokers or advertising networks.
Who we share it with
- Airlines and their partners — the carrier operating your flight, and any codeshare or interline partner on the same ticket, receive the passenger details needed to issue and honour it.
- Global distribution systems and consolidators — the reservation platforms through which tickets are issued.
- Payment processors — to authorise and settle the transaction.
- Government authorities — where an airline, border agency or lawful request requires it.
- Service providers under contract, such as our telephone platform and email delivery provider, who may process information only on our instructions.
Booking international travel means your details will be sent to carriers and authorities in the countries you are flying to and through, where protections may differ from those in your home state.
How long we keep it
- Itinerary and booking records: seven years from the date of travel, for tax and dispute purposes.
- Call recordings: twelve months, unless a recording is tied to an open dispute.
- Website server logs: ninety days.
- Quotes that never became a booking: ninety days, then deleted.
How we protect it
Reservation records sit behind individual agent logins with access limited to staff who need them. Traffic between your browser and this site is encrypted in transit, as is the payment page. Agents are trained not to record full card numbers in notes, and access to stored records is logged.
No system is perfect. If a breach affects your information we will notify you and the relevant authorities as required by law.
Your choices
- Access and correction — ask us for a copy of the booking record we hold, or have an error in it fixed.
- Deletion — ask us to delete your details. We will do so except where a record must be kept for an unflown ticket, an open refund, or a legal or tax obligation.
- Marketing — tell any agent to take you off our call and email lists, or reply “stop” to any message. Booking confirmations and schedule-change alerts are not marketing and will still be sent.
- No sale or sharing — we do not sell personal information or share it for cross-context behavioural advertising, so there is nothing to opt out of.
To use any of these, call (866) 227-5808 or write to desk@bestflightsbooking.com. We answer within thirty days and may first ask a question or two to confirm you are the passenger on the booking. Exercising these rights will not get you worse service or a worse fare.
Cookies and this website
This site does not run advertising or cross-site tracking cookies. Cookies used are limited to keeping the site working and measuring aggregate traffic. Your browser settings can block them, and the site will still work if you do.
Children
The desk does not knowingly collect information from children under 13 except as passenger details supplied by a booking adult. Tickets are sold only to adults aged 18 or over.
Changes
When this policy changes we update the date at the top of the page. Material changes will be posted here before they take effect. The version in force when you booked is the one that governs that booking.
